Fall 2024 University Deadlines
*Please note the following upcoming university deadlines, and ALWAYS check the Academic and Administrative Calendar for important dates and deadlines. Bookmark this year's Academic and Administrative Calendar and refer to it regularly.
Thursday, October 10th Deadline for Graduate Student Enrollment & Fee Payment
If you have not paid your registration fees or enrolled in the minimum number of courses by this date, you will be charged a $50 late fee. Please keep in mind that pending aid (Fellowship, GSR, TA) will not credit your account until you are enrolled in at least 5 units.
Thursday, October 10th Deadline for Graduate Student Part-Time Status
This is the deadline to apply for reduced course load and fees. Part-time status forms must be approved/signed by your faculty advisor and submitted to the BE Graduate Advising office by the posted deadline. Part-time application forms are available on the Graduate Division's website.
Wednesday, October 16th Deadline to Add/Drop/Swap Courses
This is your last day to add, drop and swap courses. You will not be able to drop or withdraw from courses after this deadline has passed. If you are enrolled in a placeholder class, you MUST drop it by this deadline. More information on how to add, drop, and swap classes is available on the registrar website.
Thursday, October 17th Late Add by Permission/Petition Begins
The Add by Petition form requires the signatures of both the instructor and the department adviser and needs to be submitted to the Office of the Registrar.
Sunday, December 1st Deadline for Late Add Permission
Deadline to add a class by permission or petition.
Sunday, December 1st Deadline for Grade Change Option
This is your last day to change your grading option for any courses you are enrolled in.
IMPORTANT: The system defaults to Satisfactory/Unsatisfactory grading. Instructions for how to change your grading option to letter grades (ABC) can be found here.
Friday, December 13th Deadline for Removal of Incomplete
Deadline to file petition and submit class work. Graduate Incomplete grade within the last three quarters.
**Friday, December 13th Deadline for Completing Degree Requirements/Submission
Deadline to complete all degree requirements. *Students participating in commencement need to complete all requirements by May 31 to be listed in the program.
The 2025 Hertz Fellowship is Now Open Through November 1st!
We're excited to announce that the online application for the 2025 Hertz Fellowship is now open through November 1, 2024.
The Hertz Fellowship welcomes any students who have a broad understanding of science and technology, exceptional creativity, and a keen interest in applying innovative research toward strengthening our nation and impacting lives!
Information Session: On Thursday, August 29, at 6:00 p.m eastern, Hertz Fellows Amani Maina-Kilaas, Maddie Urbanek, and Jennifer Schloss will take part in an online information session to share details about this unique doctoral funding opportunity and provide advice to prospective applicants to help them prepare their best application package.

Department of Energy Office of Science Accepting Applications and Offering Workshops
The Department of Energy Office of Science is accepting applications and offering workshops for Office of Science Graduate Student Research (SCGSR) Awards
* The awards will support students working on Ph.D. thesis research at DOE national laboratories.
Current U.S. Ph.D. students in qualified graduate programs at accredited U.S. academic institutions who are conducting their graduate thesis research in targeted areas of importance to the DOE Office of Science are invited to apply for the Office of Science Graduate Student Research (SCGSR) program.
Applications Due: 5:00 pm Eastern Daylight Time (EDT) on November 6, 2024.
Come to helpful application assistance workshops: Thursday, September 12, 2024, 2:00 PM – 3:30 PM EDT and Thursday, October 10, 2024, 2:00 PM – 4:30 PM EDT.
- September 12, 2024 workshop: will provide a general overview of the program and the application requirements, provide guidance on the preparation of abstracts, and will include a time for discussing potential research topics with the program managers of each major scientific area; register here.
- October 10, 2024 workshop: will guide attendees through the application process, answer general questions, provide guidance on proposal writing, and feature discussions with scientists and former awardees; register here.
This program provides supplemental awards to outstanding U.S. graduate students to conduct part of their graduate thesis research at a DOE national laboratory or facility in collaboration with a DOE laboratory scientist.
The goal is to prepare graduate students for scientific and technical careers critically important to the DOE Office of Science mission. The research opportunity is expected to advance the graduate students’ overall graduate theses while providing access to the expertise, resources, and capabilities available at the host national laboratories.
Since its inception in 2014, the SCGSR program has provided support to more than 1,150 graduate awardees from 165 U.S. universities to conduct thesis research at all 17 DOE national laboratories across the nation.
The SCGSR program is sponsored and managed by the DOE Office of Science’s Office of Workforce Development for Teachers and Scientists (WDTS), in collaboration with the Office of Science’s six research program offices, the Isotope R&D and Production office, and the DOE national laboratories/facilities.
Program administration support is provided by the Oak Ridge Institute for Science and Education (ORISE). More information on the SCGSR program can be found at https://science.osti.gov/

New Workshop on Classroom Emergency Preparedness
The Office of Emergency Management and the Teaching and Learning Center have partnered together to form a new workshop on Classroom Emergency Preparedness!
This training is for anyone who is responsible for managing a classroom and provides practical tools for handling the kinds of emergency situations that are most likely to arise in a classroom setting.
In this program, participants will learn how to care for themselves and others using easy-to-remember strategies for preparing and responding to natural disasters, behavioral disruptions, common medical emergencies, and active shooter scenarios. The workshop is designed to build confidence in participants’ capacity to plan for and respond to unanticipated events.
The Office of Emergency Management and the Teaching and Learning Center anticipate that this training will be widely available in Fall Quarter 2024, but want to offer it now as a pilot in response to strong demand from the campus community. They will be seeking feedback and input from workshop participants.
They are offering four different times to attend this training (two online and two in-person). As the training includes difficult content, including a video with depictions of an active shooter scenario, we encourage all who are able to try to attend one of the in-person offerings. Of course, if you prefer a zoom option, they have made that available. There will not be a hybrid option at this time.
